Hiring

Divisions can initiate a search to fill staff, faculty and Post Doc positions. Positions can be filled through open recruitment or administrative decision.

Open Recruitment requires positions to be posted online at Emory Careers website. Hiring managers are encouraged to interview at least 3 individuals per opening.

Administrative Decision occurs when an employee is hired without posting the position publicly. Reasons for using Administrative Decisions:
  • a special emergency need
  • a change in organizational structure and/or position requirements
  • an interdepartmental promotion in lieu of posting the vacancy through open recruitment
  • a position that requires unusual skills, training or education
  • a temporary to regular employment status change
  • a candidate has prior experience in department and appropriate qualifications
To start the admin decision process: You will also need to complete the appropriate Requisition Notes and Health/Safety Questionnaire form as well.

STEPS FOR HIRING:
  • FACULTY
    • Complete Requisition Notes and Health/Safety Questionnaire (online form link)
    • Provide a job description/ad
    • A Search Activity Report (SAR) will also be needed for open recruitment (provide Admin Decision form if not open recruitment)
    • If the candidate needs to be credentialed, reach out to Paul Ficklin-Alred
    • If the candidate has or needs a VISA, reach out to Paul Ficklin-Alred
  • Visiting Scholars
    • Provide the name of candidate, CV, transcript and letter of support
    • Complete Admin Decision form
    • Complete FPF
    • Provide a job description
    • Provide all documents to your HR Rep
    • If the candidate has or needs a VISA, reach out to Paul Ficklin-Alred
  • POSTDOCS
    • Complete Requisition Notes and Health/Safety Questionnaire (link)

STUDENT HIRING

Student employees can be any full-time or part-time Emory student who works for Emory University for pay. Emory students can be hired as work-study student employees or regular student employees. Students hired as work-study student employees, must have been awarded Federal Work Study (FWS) monies.
The department will pay 30% of their salary. More information can be found at http://www.emory.edu/FINANCIAL_AID/student_employment/types-of-employment.php. Non-FWS student hires will be paid 100% by the department.

DOP HR can also assist with the hiring of non-Emory students. These employees will be hired as staff with the title of Non-Emory student. They can be high school, undergraduate or graduate students who are still enrolled in school. Emory will not employ anyone under the age of 16. No one under 18 may work in laboratories in positions that deemed hazardous by Central HR.

Steps to hiring an Emory student employee:
  • Complete Requisition Notes and Health/Safety Questionnaire
  • Position will be posted on Emory’s student job posting board, Eagle Ops
  • Once a student employee has been selected, DOP HR will begin the hiring process
  • Emory student employees will be required to complete an online orientation (http://www.hr.emory.edu/Orientation) and the I9 process
Steps to hiring a Non-Emory student employee:
  • Complete Requisition Notes and Health/Safety Questionnaire
  • Provide the resume of the selected non-Emory student and DOP HR will begin the hiring process
  • These employees will be required to conduct a background check and drug screening
  • An online orientation and I 9 process is required

HIRING TEMPORARY STAFF
DOP HR will utilize Emory Temporary Services (ETS) to recruit for your temporary staffing needs. Emory Temporary Services (ETS) is the internal source for temporary staffing across the Emory community.

Steps to requesting a temporary staff person:
  • Complete the Requisition Notes and Health/Safety Questionnaire
  • Make sure to include skill set needed, assignment length and location, work hours, etc.
  • Once it’s approved, DOP HR will assist you with candidate selection
